Meeting Rooms
Available Rooms:

General Meeting Room Policies:
- Use of Library meeting rooms does not constitute Library endorsement of or viewpoints expressed by participants in the program.
- The Library and its affiliates have first priority on use of the meeting rooms. Other requests will be considered in the order in which they were received.
- Groups/organizations using the meetings rooms must comply with all applicable local, state, and federal laws, such as hiring an interpreter or providing auxiliary aids required under the Americans with Disabilities Act when requested by the public.
- A pay phone is available on the Main Level near the entrance door.
- All groups/organizations are responsible for reimbursing the Library for any damages, unusual cleaning expenses, or security measures related to the meeting. The meeting rooms should be left in the same condition in which they were found.
- Group/organization attendees are subject to the “Expectations of Persons Using the Library.”
- Candles or any open flames are prohibited.
- Smoking and alcohol are prohibited throughout the building.
- No tacks, nails, or tape are to be placed in or on doors, walls, windows, or furniture. The Library will allow use of its bulletin boards or easels, if requested.
- The group/organization is responsible for the supervision of all children who may accompany its members. Children should remain with the group or be supervised by an adult who must remain with them.
- The Library assumes no responsibility for private/personal belongings.
- The Library assumes no responsibility for personal injury to any person or damage to the property of others.
- The meeting rooms are not available for private parties, social events, or crafting or other personal artistic projects.
- Groups/organizations are not allowed to use the Library as their official mailing address.
- The Library reserves the right to cancel a meeting because of weather related or building emergencies.
- The Library staff or security personnel will monitor the use of the meeting rooms and enforce all policies.
- Meetings that may become disruptive to normal Library operations must end immediately.
- Failure to abide by these policies and procedures will jeopardize future meeting room use.
Community Room Use:
- The Library reserves the right to cancel prior reservations when the Community Room is needed for Library or City of Bloomington purposes.
- Seats approximately 100 in chairs (auditorium style) or 50 at tables (classroom style)
- Can accommodate 200 standing
- Kitchen facility available (groups must furnish all necessary kitchen supplies)
- Meetings must be free and open to the public. There shall be no admission charges, no solicitation for donations, or selling of products or services at the meetings.
- Commercial groups/organizations will be charged $20/hour, not to exceed $150/day
- Hours of usage:
- Monday – Thursday 9:00 a.m. to 9:00 p.m.
- Friday – Saturday 9:00 a.m. to 5:00 p.m.
- Sunday 1:00 p.m. to 5:00 p.m.
- Groups/organizations may use the Community Room once per month, up to six (6) times per year
- Groups/organizations may reserve the Community Room no more than three (3) months prior to date of the meeting.
- Can be requested by phone, on-line, or by fax, but the completed reservation must be received within three (3) days prior to the meeting. If the form is not received within three days, the reservation will be cancelled. If there is a question about the reservation, Library staff will contact the group.
- The Community Room is not considered reserved until Library staff has confirmed the reservation. Groups should call to confirm reservations.
- There is a cordless sweeper located in the Community Room kitchen to touch-up cleaning. Please notify staff at the Check Out Desk to page a custodian if any spills occur.
- Consistent failure to cancel and not notify the Library will jeopardize future meeting room use.
Study Room Use:
- The Study Rooms are intended for groups, not individuals. The Quiet Reading Room is the area for individual study and reading.
- Groups may reserve Study Rooms one week in advance. Contact Adult Services, 309.828.6091, option 1.
- Study Rooms may be used by groups of 2-6 people.
- Study Rooms may be used by students studying together, tutors, income tax volunteers in season, or by small private clubs/groups, such as book clubs or investment groups.
- There is a two hour time limit.
- If a group does not show up within 15 minutes of the reserved start time, the room may be given to others that ask for it.
- If a room is not reserved or in use, small groups may request it.
- Individuals may use laptops or sound equipment, but sounds must not be audible outside the room.
